Rongring Lepcha Culture and Welfare Society (“RLCWS”, “we”, “our”, “us”) is a non- governmental organisations (NGOs) that is working on promoting the Lepcha Language, Culture, Heritage and Tradition. RLCWS aims to promote education and support the underprivileged, focusing on the Lepcha language and culture. Key activities include reviving the Lepcha language, preserving Lepcha traditions, and providing both online and offline education in the language. The society seeks to showcase this rich culture to the world.

These Privacy Guidelines (“guidelines”) set out to explain how we collect, use and store any data including personally identifiable data that you give us when you use our websites or any other digital medium and other offline sources of our organization.

We encourage you to read and understand these guidelines in connection with the use of our websites, social media platforms and digital applications (“digital platforms”).

1. Applicability

This Privacy guideline applies to visitors (“you”, “yours”) to our digital platforms.

2. Your Consent

By visiting and/or using our digital platforms you agree and give consent to collect, use, and store, disclose and share your data in accordance with these guidelines.

3. Use of Content

All logos, brands, marks headings, labels, names, signatures, numerals, shape   s, or any combinations thereof, appearing on this site, except as otherwise noted, are properties either owned or used under license, by the organization and/or its associate entities who feature on this Website. The use of these properties or any other content on this site, except as provided in these Terms and Conditions or the site content, is strictly prohibited.

You may not sell or modify the content of this website or reproduce, display, publicly perform, distribute, or otherwise use the materials in any way for any public or commercial purpose without the respective organisation’s or entity’s written permission which you can request by emailing [email protected]

4. Data We Collect

  1. Contact Data (personal and non-personal) such as:
    • contact and profile information,
    • account and authentication information from third-party integrated services
    • donation and applicant data
    • non-personal information which may be linked to your Personal Information
  2. Information you post on our digital platforms or on social media sites owned by a third party.
  3. Information from Integrated Sign-On Services: Integrated Sign-on Services mean when you register through or otherwise grant access to a third-party social networking or integrated service such as Facebook, LinkedIn, Instagram Google or similar single sign-on services. If you have claimed your data as personal data at the time of registration, we shall treat it as personal data.
  4. Usage and Preference Information: We collect information as to how you interact with our digital platforms, preferences expressed and settings chosen, your user activity and browsing history within our digital platforms and across third-party sites and online services, including those sites that include our pixels (“Pixels”), widgets, plug- ins, buttons, or related services or through the use of cookies for enhancement of our services.
  5. Stored information and files: Our digital platforms may with your consent also access metadata and other information associated with other files stored on your mobile/computer device. This may include, for example, photographs, audio and video clips, personal contacts and address book information.
  6. Other information: If you use our digital platforms, we may collect information about your IP address and the browser you’re using. We might look at what site you came from, duration of time spent on our platform, pages accessed or what site you visit when you leave us. We might also collect the type of mobile device you are using, or the version of the operating system your computer or device is running.

5. How We Use Collected Data

  1. We may use your contact data for purposes which may include but shall not be limited to maintaining our database, record keeping, reporting, or to communicate with you when necessary.
  2. To contact you for any engagement and for feedback purposes, to communicate with you about your account and respond to inquiries.
  3. To confirm your registration on our digital platforms and their usage.
  4. To operate, maintain, enhance, and provide all of the features of our digital platforms.
  5. For security and safeguarding purposes.
  6. To understand the usage trends and preferences, to improve the functioning of our digital platforms.
  7. To improve our content enabling your participation in our programs.

6. Sharing Data with Third Parties

We may disclose collected data as follows:

  1. With the third party when it is visible to others on our digital platforms by default.
  2. With social networks like Facebook, Instagram, Linkedin and Google, where you explicitly agree to disclose information.
  3. To comply with the applicable laws to protect your and our privacy.

Please note that the above-mentioned third parties are not governed by us or the terms of these guidelines. We recommend you review the guidelines of any third party application or service before authorizing access to your account information on our digital platforms.

7. Cookies

Cookie refers to a small text file that is stored on a user’s computer for record-keeping purposes. The primary purpose of cookies is to analyse how users move within the website. The web browser retains the cookie for a specific amount of time while a user visits the website. Your data will be collected automatically when you visit our digital platforms, register on any of our online portal/s, data collected via Cookies, aligned with the cookie settings on your browser.

8. Security and Safeguarding of Data

  1. We aim to secure the collected data against loss, alteration, and unauthorised or illegal sharing or access by any party (apart from the ones stated in this guidelines) through the entire process of collection, use, retention, storage, sharing, updation and deletion of collected data.
  2. We will never share your personal data with or to any individual or organization without your advance permission or unless ordered by a court of law.

In the event that any information under our control is compromised as a result of a breach of security, we will take reasonable steps to investigate the situation and will notify you of the security incident in accordance with applicable laws and regulations via a Data Breach Notification.

9. Links to other websites

Our digital platforms may link to and may be linked by websites/platforms operated by other entities or individuals. Some of these websites/platforms, such as RLCWS’s Facebook, Instagram, Twitter, Linkedin Page may be co-branded with our name or logo. These Privacy guidelines do not apply to, and we cannot always control the activities of, such other third-party websites/platforms. You should consult the respective privacy policies of those third-party websites/platforms.

10. General Rules

Visitors may not use the Web Site to transmit, distribute, store or destroy material:

That could constitute or encourage conduct that would be considered a criminal offence or violate any applicable law or regulation,

In a manner that will infringe the copyright, trademark, trade secret or other intellectual property rights of others or violate the privacy or publicity of other personal rights of others, or

That is libellous, defamatory, pornographic, profane, obscene, threatening, abusive or hateful.

11. Donation Refund Policy

• The Organization is instituting a donation refund policy to ensure fair and transparent processing of requests for refund of donation, now that digital payments have become more frequent. We expect that all donors will exercise due care and diligence while making donations, and further recognises that a donation may be made erroneously, or donors may change their mind.

• The Organization will examine each request for refund of donation and endeavor to make the refund. We may also seek further information / documents, and donor must co-operate in this regard.

• However, the organization is not obliged to make refunds and may, in its discretion, decline any requests for refund of donations, particularly if a tax exemption certificate has been issued.

• If you would like your donation to be refunded:

• You must request the organization in writing or by email for a refund, which must reach the organization within 7 (seven) days from the date on which the donation is made, i.e., the date on which donation is made online using our platform.

The written request stating reason for refund must be sent via email to [email protected]

and must contain all the following details pertaining to the donation:

• Date of donation

• Donation amount

• If donation was made through credit card, to provide Credit Card no. (last four digits only).

• If donation was made online, to provide Donation-ID.

12. Updation/Deletion of Data

In case you wish to delete/update your personal data, please contact  RLCWS’s authorized person i.e. the Manager. After the receipt of your updation/deletion request, your personal data shall be deleted/updated from its storage platform within 15 (fifteen) working days subject to retention of your data for any legal requirements, and or updated as the case may be.

13. Dispute, Reporting and Redressal Mechanism
